From spreadsheet find to agent order notes without losing context

Browsing finds candidates. The agent stage needs clean notes: source link, size, color, and what QC must prove before shipping. This guide is the handoff story; the agent-order checklist is the tick list.

Why spreadsheet rows are not orders yet

A spreadsheet row is a candidate. The agent purchase needs an exact source URL plus options the seller will understand. If the row and the live product page disagree on size chart or color name, pause before you pay.

Copy the source link cleanly

Use the Weidian, Taobao, 1688, or Xianyu URL that identifies the exact listing. Extra tracking parameters and unrelated tabs create wrong orders.

Prefer the address-bar URL from the live listing over a spreadsheet title paste or a Discord mirror that may be stale.

Write the order notes before you pay

Size, colorway, quantity, and any custom remark should be explicit in the agent order field — not only in a chat message you will lose.

  • Size in seller language if the chart uses local labels
  • Colorway / batch / version when the page lists options
  • Price check: live page vs what you expected
  • Remark: measure insole, remove box, extra photo, etc.

Attach a QC checklist to the item

Tell future-you what must appear in warehouse photos. That habit is faster than re-learning the product when the QC album arrives.

After warehouse intake

Status usually moves purchased → seller sent → warehouse received → QC photos. When photos land, open the QC checklist — do not jump straight to parcel submit.

Weak items that fail identity or construction should leave the haul before they inflate volumetric shipping.
